Important Notice:

Participants must read the terms & conditions carefully. Upon submitting the registration, the participant is deemed to have accepted all terms and conditions of the event, the official rules and temporary arrangements set forth by the organisers.

All the information provided by a participant in the registration form must be true and accurate.

Participation in the event is voluntary and at the own risk of participants. Each participant agrees to absolve the organisers, event producers and any sponsors and/or supporting organisations from all liabilities arising from bodily injuries, accidents, death or other losses during or caused by travelling to and from the event venue, during the event or whatsoever reason.

All participants / groups must settle the payment upon registration.

The registration is non-refundable and non-transferable

Personal data collected from participants will be collected and used solely for event registration purposes and will remain strictly confidential.

Information recorded during the event, including images (video/photos), audio (video recordings, sound recordings, etc.), interviews, and other event records, may be utilized by the organisers for promotional and marketing purposes.
Registration

The registration fee is non-refundable and non-transferable once the registration is accepted. A confirmation email will be issued within 10 working days upon receipt of the application. Please contact the organisers promptly if the confirmation email is not received within the specified timeframe.

Duplicate registrations will be considered as a single registration. Additional registration fees paid will not be refunded and cannot be transferred to other participants or events. Information provided during registration will not be returned.

Incomplete or late registration applications will not be accepted. No on-site registrations permitted.

The organisers reserve the right to limit or decline any registration application.

The organisers reserve the right to contact applicants for clarification or verification of their registration information.

Participants are responsible for ensuring that they are physically fit and suitable to participate in the event before completing the registration process and attending the event.

The organisers reserves the right to close the registration any time without prior notification.

Race pack
-
Successful registered participants will receive a Race Pack Collection Notification by email. If you do not receive the email by Saturday, 23 August 2025, please contact us by email at balloonrun2025@habfest.com.

Upon receiving the race pack, participants must thoroughly check the contents and verify that the personal information and event details printed on the bib are accurate. Any discrepancies should be immediately reported to on-site staff for rectification.

Participants are responsible for safeguarding the race bib, ensuring it remains undamaged and free from folds or creases to prevent any malfunction of the timing chip. Please note that lost or damaged bibs will not be reissued by the Organiser.

Running tee size availability is provided on a first-come first-served basis and subject to stock conditions. Running tee size and color, and photos of other souvenirs in the race pack are for reference only.

Only participants who have completed the race will be given the completion medals and e-certificates.

Race Day
​

To ensure a smooth experience, participants are strongly advised to arrive at the race venue at least 45 minutes prior to the scheduled start time. The organisers reserve the rights to adjust race schedules and arrangements as necessary.

To ensure safety, participants are advised to complete an adequate warm-up routine before the race to prevent injuries.
-
Water stations, baggage storage areas, and first aid stations will be available.
-
In support of environmental sustainability, participants are encouraged to bring their own water bottles.

Participants may deposit personal belongings in the designated baggage storage area provided by the organisers. To ensure safety, do not deposit valuable items, as the Organiser will not be liable for any loss or damage to personal property. By using the baggage storage service, participants are deemed to have accepted these terms and conditions.

After completing the race, participants should retrieve their belongings from the baggage storage area promptly.

Participants are requested to prioritize safety and remain attentive to other road users and objects.

Race winners will be required to present their identification including HK identity card for verification.
-
Participants must retire and leave the event venue immediately if requested by any race official, medical staff, race director or security staff.
-
Participants shall indemnify and/or reimburse the organisers in respect of any additional expenses or costs incurred by the organisers arising from or in connection with the fault or action or behavior of such participants during the event.

Physical Conditions

Participants are advised to bring their own sun protection or rain gear based on the weather conditions on the event day.
-
Participants must ensure that they are physically fit to participate in the event. Any person who is pregnant or suffering from any chronic disease such as heart disease or high blood pressure should not participate in the event.

The organisers reserves the right to disallow /disqualify any person who is known or suspected to be physically unfit to participate in the event, with no refund.

Participants must acknowledge and accept full responsibility for all risks associated with their participation in the event. The organisers will provide General Public Liability Insurance and Group Personal Accident Insurance for the event. Participants are encouraged to arrange for additional personal accident and health insurance if deemed necessary.

Special Circumstances:
Route Alteration

The organisers reserves the right to change or alter any parts of the route before and during the event without prior notice in case of unexpected road conditions or emergency. The event may be temporarily suspended to give way to emergency vehicles. Participants must follow the instructions of event officials or any law enforcement officers on site at all times.
Event Postponement or Cancellation
-
Should the event be postponed or cancelled due to circumstances beyond the control of the organisers, all registration will not be refunded and the organisers shall have no further responsibility and / or liability thereafter.

The organisers reserves the right to cancel or cut short the event for situations such as adverse weather conditions, protests or blockage along the course and force majeure. A force majeure event shall include, but is not limited to, acts of God, war, hostilities, invasion, rebellion, revolution, insurrection, riot, commotion, strikes, go-slows, lock outs or disorder, outbreak of disease, acts or threats of terrorism.

Adverse Weather Arrangements

The registration is non-refundable and non-transferable in the event of cancellation or any amendment as a result of adverse weather conditions.

The Event will be cancelled if tropical cyclone warning signal No.3 or above, or a red or black rainstorm signal is hoisted by the Hong Kong Observatory at 3:00 am or thereafter on the event day, Saturday, September 6, 2025).

Should severe weather occur during the event or any of the aforementioned warnings be issued or other circumstances beyond the organisers’ control, the organisers reserve the right to alter the route or cancel ongoing activities. All donations, including registration fees and additional donations, will not be refunded.

Participants are encouraged to check weather conditions by phone or visit the Hong Kong Observatory for updates on the event morning. (Phone: 1878200)

Participants should monitor the weather conditions and forecasts the day before the event, paying particular attention to possible tropical cyclone signals, red or black rainstorm warnings, and "extreme conditions."

Others

Participants are strictly prohibited from bringing any hazardous items (such as glass containers, knives, fireworks, laser pointers, compressed gases or sprays, offensive weapons, flammable or explosive materials, or items that obstruct other participants).

Participants may not wear or carry any clothing or materials that contain insulting, intimidating, discriminatory, religious, or political content.

If any participant engages in behaviour or displays any signs, slogans, or banners that raise public concern or are deemed inappropriate by the organisers, they may be prohibited from participating or continuing in the event.

AIA Balloon Run is a smoke-free event; smoking is not permitted within the event area. Participants are asked to keep the area clean and refrain from littering.

All gifts are non-transferable and non-exchangeable for cash.

In the event of any dispute regarding the race results, the decision of the race officials on the day of the event shall be final.

Race results will be based on the official time recorded by the Organiser. The organisers reserve the right to modify and interpret these rules as necessary.
